Challenge

Posa S.p.A. is an Italian company specialized in the production of rubber compounds for the industrial, automotive, and technical sectors.
Posa S.p.A. needed to digitize the distribution processes of Personal Protective Equipment (PPE) and other consumables to its workers.
The goal was to simplify the operations of delivery, improve traceability, and ensure a centralized view of the activities of the various departments involved.
Objectives

Digitize the processes
Documenting operations allows for a comprehensive view of consumption and costs. The goal is to create a support tool for safety and control, compliant with regulations.

Manage deliveries
The distribution of consumables must be tracked to avoid errors and waste, to reduce responsibility handovers, optimize time, and lighten the workload of the operators.

Coordinate the departments
Production, logistics, and purchasing must collaborate in real-time with shared tools to ensure consistency. The system must be simple, practical, and intuitive for workers.
Approach
The analysis of the distribution flows of the PPE has allowed for an understanding of the real operational needs of the workers and the involved departments. The objective was to develop a simple, fast, and consistent system with the processes already in use.
Through direct observation, the definition of design requirements, and iterative prototyping, it was possible to design an intuitive interface that is integrated with business systems, ensuring a gradual and seamless digital transition without operational interruptions.

Solution

Functionalities
After analyzing the entire operational cycle, from the request for PPE to their delivery and reporting, the critical points related to manual management and the fragmentation of responsibilities have been identified.
We intervened by redesigning a shared system, easy to use at every stage and accessible by all the actors involved, capable of connecting the warehouse with the offices and departments in real time.
Delivery
The DPI are controlled and assigned based on the job role of the workers and which, if any, have already been delivered to them
Registration
The manager records in the system which PPEs have been delivered and to whom, in order to register in the inventory the stock in the warehouse and the first aid kits
Control
The figures responsible for warehouse control or first aid kits can report any deficiencies and needs, notifying the managers directly of any emergencies
Monitoring
From the dashboard, it is possible to monitor and consult all data at any time and from remotely as the data is recorded on online archives
